Accepted on the First Attempt: How One Young Journal Got Into DOAJ

DOAJ Indexing on the First Attempt: A Case Study

One application. One review. One acceptance.

A young journal we prepared is now listed in DOAJ, and it got there on its very first attempt. No rejection email. No long wait to reapply. No second round of fixes.

That is rarer than it sounds. Every year, journals with solid science get turned away for reasons that have nothing to do with the quality of their articles.

So what made this journal different? We will share part of the answer here. Not all of it.

We are not naming the journal in this post. If you are serious about applying, ask us and we will share it.

A DOAJ rejection costs more than pride

DOAJ says a decision generally arrives within six months. If the application is unsuccessful, the journal may need to wait six months or longer before applying again. (DOAJ Guide to applying).

That can be a full year lost to one weak application. A year of authors asking “Is the journal in DOAJ?” with no good answer to give them.

The painful part is how small the reasons can be. DOAJ’s criteria leave no room for loose ends:

  • Wrong or missing answers in the form mean automatic rejection
  • Copyright terms must never contradict the licence
  • Every author fee must be stated, and if there are none, that must be stated too (Know more about CRediT)
  • Peer review must be described clearly, with at least two independent reviewers per article
  • Papers by the journal’s own editors and reviewers must stay within 25% of recent issues

None of these say a journal is bad. They say the journal was not ready on the day it applied.

Three things we did differently

We are not going to publish the full playbook. But we can tell you where the work went.

  1. We said “not yet”. Our first audit ended with a clear verdict: do not apply. The journal waited. That decision mattered more than anything we later wrote in the form.
  2. We read the journal the way a DOAJ editor does. A reviewer does not take your word for anything. They open the site and check. So we checked first: every page, every policy, even the published PDFs.
  3. We made every answer provable. By the time the form was filled, each answer pointed to a live page that said exactly the same thing. One journal, one story, everywhere.

Simple to say. The details are where journals win or lose.

What the audits found, and what we are keeping to ourselves

We ran more than one full audit before the journal applied. Every round found something. The preparation took months, not days.

The issues were never about the science. They were contradictions: one page saying one thing, another page saying something slightly different. The kind of detail an editor-in-chief stops seeing and a DOAJ reviewer spots quickly.

Which pages? Which contradictions? How did we catch them? That part stays with our clients.

What we can say is this: most of it was invisible from the homepage.

What this means for your journal

This journal is not a special case. It is young and independent, with no big publisher behind it. If it can enter DOAJ on the first try, so can yours.

Before you apply, ask yourself three honest questions:

  1. If a stranger read every page of your site today, would they find two pages that disagree?
  2. Can you prove each answer in the DOAJ form with a live link?
  3. Do your published PDFs say the same thing as your policies?

If any answer is “not sure”, you are not ready. And finding out from DOAJ is the expensive way to learn it.

Apply once. Get it right.

DigitalBisht runs DOAJ readiness audits for journals that want one application, not two. We have supported 100+ journals, and 30+ of them are now indexed in Scopus.

Send us your journal URL. We will tell you honestly whether you are ready to apply, and what stands in the way if you are not. Want proof first? Ask, and we will share the journal’s name and its DOAJ record.
